Responsible party and information collected
Buildpilotbase is the responsible party for personal information handled through this site and our engagements. Enquiries collect a name, email address, selected service and message. If an audit proceeds, we may process contact details, income evidence, expense information, credit commitments and finance quotations needed for the agreed assessment.
Do not place identity numbers, account numbers or financial records in the website form. We provide an agreed secure transfer method after scope is confirmed.
Purpose and lawful handling
We use information to answer enquiries, verify authority and consent, perform the requested affordability audit, issue engagement records, meet tax and legal duties, maintain security and resolve complaints. We do not sell personal information or use audit records for unrelated advertising.
Sharing and international transfers
Access is limited to personnel and service providers who need it for secure communication, storage, professional support or legal compliance. Providers are required to protect the information. If a provider processes information outside South Africa, we use contractual or other lawful safeguards intended to provide comparable protection.
Retention and security
Unconverted enquiries are ordinarily deleted after 12 months. Engagement and accounting records are retained for the period reasonably needed for professional, tax and dispute obligations, generally five years after closure unless law or an active dispute requires longer. We use access controls, limited permissions and suitable transfer arrangements, but no internet transmission is risk-free.
Your rights
Subject to applicable law, you may ask whether we hold your information, request access or correction, object to certain processing, ask for deletion where retention is not required, or complain to South Africa’s Information Regulator. We may need to verify identity before fulfilling a request.
